Welcome to the Portable Vault Software

Welcome to the Portable Vault. The Portable Vault is designed to encrypt data on your removable media so that it will not be useable or accessible to anyone without the proper access password.

The Portable Vault is extremely easy to use. Once you enter your password, you will have the ability to add and remove files and folders from the vault. Files that are added will be protected using AES 256 bit Software Encryption. Files may be added using drag and drop from Windows explorer as well as using the "Add" button from within the program. The Portable Vault is an indispensable utility to add security and protection to your private and confidential files.


Getting started for the first time

To launch the Portable Vault from your removable media, you can double-click on the program name (PortableVault.exe) from a Windows explorer view. (Other options such as Start/Run, etc. can be used to start the vault application.)

The first time that the Portable Vault is run, you will be presented with the "Setup Vault Profile" dialog. From this dialog, you must name your Vault, confirm a password to access the vault (recommend password be at least 7 characters), and optionally, enter a password hint.

The purpose of the password hint is to help remind you of the password should you forget the password. Use of a password hint is completely optional and does have some drawbacks. If you choose to enter a password hint, you will be somewhat more limited on the type of passwords you can create, as you must be able to relate the password hint to the actual password. Also, it will be your responsibility to select a password/password hint that is meaningful to you, but which other that view the password hint can not figure out what the actual password is to access the program.

If you forget your password, and your password hint is not sufficiently useful to remind you of your password, or you choose not to use the password hint option, then you will not be able to access the vault. We have no ability to regenerate a new password without knowing your original password. Any files that you have entered into the vault, should you forget your password, will not be retrievable.

Caution - Make certain you do not forget your password. Also, please recognize that passwords are case sensitive.

Once you have named your vault and setup your password (first time), future program startups will automatically begin from the Enter Password dialog. From this dialog you can enter your password to access the Main Vault dialog window. You must accept the licensing terms to gain access the vault. The Enter Password dialog also has the option to show a Password Hint, if you have elected to enable this feature. Also, from this startup dialog, you can access the Manage Vault dialog, as well as check for Portable Vault updates.


Utilities (Dialog)

The Vault Utilities dialog allows you to backup and restore your vault. As with any critical data, regular backups should be preformed to protect against potential data lose. Restoring the vault over an existing vault will revert the vault back to the time at which the backup was performed. To access the vault, you will need to use the password that was in effect at the time of the backup.

You can also check for updates to Portable Vault on the internet. If an update exists, you can download and replace your current copy. To update the program, you must exit Portable Vault before you will be able to replace the PortableVault.exe file.


Main (Dialog) Buttons

Buttons on the Main Vault Dialog can be used to Add, Remove and Delete files from the vault.

Select "Add" to add files (Multiple file selections allowed)

Select "Add Folder" to add a folder to the vault

Select "Remove" to remove files from the vault (Multiple selections allowed).

Select "Delete" to delete and shred files from within the vault.

The folder button is used as a toggle to hide/show the folder panel.

The plus folder and delete folder buttons can be used to add organizational folders to your vault.

Select "Protect" to protect selected items that have been unprotected in the vault by double-clicking on the item. When the item is double-clicked from within the vault, it is temporarily unprotected while you work on the item.

The "Close" button will exit the program.

Organizational folders can be created and removed to allow you to organize data files and data folders within the vault. From these organizational folders you can add and remove vault files and folders from the various vault sections. If an Organizational folder is removed that contains files, those files are automatically added to the top level vault location. You will not lose files by deleting a vault Organizational folder. The use of Organizational folders is completely optional. The example screen above shows 3 organizational folders that were created (Personal Files, Work Files, Travel Plans). Individual files and folders from the right vault work area can be dragged into any of these Organizational folder areas.


Vault Directory - Important

Portable Vault stores your encrypted data in the \Vault directory. The Vault directory will be located under the root level of your USB device. This directory is automatically set to hidden when it is created. Windows can be configured to show hidden directories and files, so depending on your configuration the \Vault directory may be visible on your computer.

It is very important that this directory and its contents not be tampered with or deleted.
